Tips for sending bulk customer on boarding emails in one click

Are you looking for a fast and easy way to bulk on board your customers? In today's email we show you a fast way to bulk send customer on boarding emails in one click.

Firstly log into Pencil and the go to:

  1. Customers.
  2. In the left filter "Status" change to "Draft" (as we want to find customers you haven't sent on boarding emails to). You may also want to set the filter "Email Sent" to "No" to be more targeted.
  3. In the left hand column check the box of each customer you want to send the on boarding email to.
  4. A green button "Bulk Email Send" will show, click on the button.
  5. This will open an overlay with the following columns:
    1. Trading Name
    2. ABN
    3. Email Address (leave as ALL if only one email address or select the specific email you want to send to)
    4. Payment Term (leave as ALL if you want to allow the customer to select their own payment term or select the specific payment term you want to offer your customer)
    5. Credit Limit (leave as ALL if you want to allow the customer to select their own credit limit or select the specific credit limit you want to offer your customer)
    6. Pencil Score (if your customer has no invoices in Pencil (or less than 1 day of invoices, nothing will show here)
    7. Outstanding Invoices (you can use this to prioritise who you send to)
  6. Click "Send"

Now each customer will receive the on boarding email. We also recommend you check your credit form reminder settings by following these steps:

Go to:

  1. Settings -> Credit Forms -> Reminder Settings.
  2. Check the "Frequency:" is set to somewhere between 3 and 7 days (is our recommendation).
  3. Check what "Time:" you want these credit form reminder settings sent.
  4. Toggle ON the "Email" setting to activate (we recommend leaving SMS off for now).
  5. Click on Save to save your settings.
